Program Assistant, Academic and Professional Affairs

SUMMARY
The program assistant provides administrative support for the academic and professional affairs department, including assistance with AHA committees, special projects, and related activities. The program assistant supports the planning and execution of initiatives focused on undergraduate and graduate education in history, collecting and interpreting data regarding the history discipline, and other related projects. The program assistant reports to the director of academic and professional affairs.

PRIMARY RESPONSIBILITIES/ESSENTIAL FUNCTIONS MAY INCLUDE
  • Provide administrative support for AHA Academic and Professional Affairs staff, Teaching Division, Professional Division, and related committees, including scheduling teleconferences and meetings, preparation of meeting agendas and materials, research, and follow-up reports.
  • Assist with meeting and event planning, including department activities at the annual meeting, the AHA’s annual workshop for department chairs, and regional events, as well as work with other AHA staff on virtual events.
  • Support the department’s grant-funded initiatives by helping to organize correspondence and group communications, conduct online research (including history content and market research), compile data, update online content, process and track reimbursements, and prepare and submit grant reports.
  • Attend the AHA annual meeting and perform logistical and customer service tasks as needed.
  • Work with the Annual Meeting Undergraduate Working Group to develop strategies for increasing undergraduate attendance at the annual meeting.
  • Contribute content to various AHA publications as required, including Perspectives on HistoryPerspectives Daily, and Fortnightly News.
  • Provide general office assistance, such as covering phones or greeting visitors, as needed.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS/KEY ATTRIBUTES
  • Bachelor’s Degree in history or comparable field
  • Proficient with Microsoft Office and comfortable learning new digital tools such as membership and conference databases, content management systems, and virtual meetings software
  • Highly organized and detail oriented
  • Ability to multitask and prioritize assignments from multiple supervisors
  • Ability to work independently
  • Strong writing and communication skills
  • Adept at handling confidential and/or sensitive information
  • Must have legal right to work in the United States

SALARY/BENEFITS: $40,000-$42,000. Benefits package includes competitive medical and life insurance and a qualified retirement plan.

FLSA STATUS: Non-exempt

SCHEDULE AND TRAVEL: Full-time, Monday through Friday. Required travel once a year to annual meeting; additional travel to support regional conferences is possible. [Note: The AHA office is currently a hybrid workplace, with staff required to be in person 2 days per week.]
