Finance Assistant

*Position will be office based when COVID restrictions are lifted.

ROLE SUMMARY
 
The Atlanta office of Alston & Bird is seeking a Finance Assistant to work with our Atlanta finance department.  Under direction of supervisors, the Finance Assistant will perform a variety of accounting duties as well as manage the Finance Department Front Desk. These duties include answering the departmental telephone, preparing summary of the Firm's daily cash deposit, distributing the departmental mail, mailing and filing Accounts Payable checks and assisting in various other accounting duties.

Essential Duties

  • Distribute Accounts Payable checks to appropriate vendors and Alston & Bird personnel (if applicable).
  • Prepare the Firm's daily cash deposit.
  • Provide copies of supporting documentation, as necessary, to validate costs on client bills and/or firm expenses (either electronic or paper copies).
  • Manage Department supplies, filing system and other various other miscellaneous projects.
  • Back up other desks and Finance staff as needed. Assist Accounts Payable, including researching issues related to invoices/requests, processing expense reports, etc.
  • Assist Senior Director of Finance and Finance Executive Staff as needed.
  • Filing of check copies and supporting documentation (paper or electronic).
  • Receive and distribute departmental mail.
  • Answer departmental telephone.
  • Build, maintain, and deliver a professional customer service attitude and relationship with all internal and external contacts.
  • Maintain the confidentiality of all financial matters exposed to during the course of performing job duties.

Skills Needed to be Successful

  • Ability to understand procedures and instructions specific to the area of assignment as would be acquired during four years of high school.
  • Knowledge of Microsoft Excel and Microsoft Word.
  • Ability to accurately use 10 key.
  • Ability to express self-effectively, both orally and in writing.
  • Ability to establish effective working relationships throughout the Firm.
  • To have a strong command of the English language.
  • Ability to effectively handle telephone calls with established Firm etiquette and professionalism.
  • Knowledge of general office equipment, including personal, computer, copy machine, calculator, and printer.
  • Basic knowledge of Elite Information Systems, a plus.
  • Ability to quickly gain knowledge of Firm and Administrative Support Service standards, practices and procedures to meet Firm personnel demands.
  • Excellent organizational skills for prioritizing workload.
  • Strong work ethic.
  • Associates or Bachelor’s degree is not required but preferred.
  • Previous experience of 3 or more years of related experience.
