Program Associate, Speakers

Position Title: Program Associate, Speakers
Status: Full Time
Location: Washington, DC preferred

JOB SUMMARY AND KEY PRIORITIES
Active Minds is seeking a highly organized individual with experience in event planning and an eye for detail. The Active Minds Speakers program is composed of 20+ professional speakers and trainers who present nationally, both in-person and virtually. The Associate, along with a team, will oversee the booking and execution of a wide array of professional events per year. The Community Programs Team ensures a professional and superior client experience with the Active Minds Speakers program from contract signing through post-event follow-up. This position reports to Active Minds’ Events Manager and Sales Manager.

KEY RESULTS
  • Contract and Booking Logistics: Partner with the Sales Manager to support efficient and streamlined management of the contracting and booking process.
  • Virtual and In-Person Event Coordination: Work alongside the Event Manager for all post-contract client experience tasks to conduct speaker planning calls, book travel, and arrangements, and general speaker/trainer preparations prior to in-person and virtual bookings. 
  • Special Project Management: Ensure the successful execution of special projects relating to the Speakers program. 
  • Speaker Liaison: Maintain a strong connection with professional Active Minds Speakers and Trainers to ensure program integrity and team morale.
  • Programmatic Evaluation and Improvement: In partnership with Active Minds’ research and evaluation team, ensure various programs’ effectiveness, host/chapter satisfaction, and overall programmatic success
  • Salesforce Management: Maintain and track organized records of event details, communication, and status in the organization-wide CRM system, Salesforce
  • Departmental/Organization-wide: Support other programs and teams as needed. Ensure relevant milestones delineated in the Active Minds strategic plan are met or exceeded on time. As needed, represent Active Minds at conferences, meetings, trainings, and other events. Participate in organization-wide miscellaneous duties as needed, including supporting the National Conference and participating on cross-department anti-racism and inclusion committees


Qualifications

  • At least one year experience in hospitality, event management, sales and marketing, customer service, or related professional areas
  • Prior experience working with virtual event platforms, including but not limited to Zoom and Microsoft Teams
  • Prior experience with CRM platform (preferably Salesforce) 
  • Advanced knowledge of Google Workspace
  • Well-organized and detail-oriented, with excellent multi-tasking abilities
  • Excellent written and verbal communication skills
  • Ability to work effectively as part of a team as well as individually 
  • Belief that equity and social justice are important and driven to hear, reflect, and act on this belief
  • Advocate for social entrepreneurship and a believer in young people making an impact

Minimum salary for this position is $50,000 and comes with a comprehensive benefits package that includes paid vacation and sick time; paid federal holidays; health, dental and vision coverage; and 401(k) matching. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount.
